Privacy Policy

Match Loop LLC ("Match Loop," "we," "us," or "our") operates the Match Loop website at matchloop.app and the related mobile applications (together, the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices and rights you have. It is written to meet the disclosure standards of U.S. state privacy laws, including the Texas Data Privacy and Security Act (TDPSA), and it applies to everyone who uses the Service regardless of where they live.

If you do not agree with this Policy, please do not use the Service.

1. Who we are

Match Loop is a captain-first tennis team management tool for league tennis. Team captains use it to manage rosters, post lineups, collect player availability, and coordinate rescheduled ("rain makeup") matches, including with opposing captains. Match Loop LLC is a Texas limited liability company.

We are the "controller" of the personal information described in this Policy — meaning we decide what is collected and why.

2. The information we collect

We collect only what the Service needs to work, and we limit collection to what is reasonably necessary and proportionate to provide the features you request. The categories below describe everything we collect.

2.1 Information you give us directly

  • Account information. When you create an account, we collect your name, email address, and a password (stored only in hashed form by our authentication provider — we never see or store your plaintext password). If you sign in with Google, we receive your name and email from Google to create your account.
  • Profile and team information. Your role (captain or player), the teams and leagues you belong to, and any display name or contact details you choose to add.
  • Roster information entered by captains. A captain may add players to a team roster, including a player's name and email address, before that player has created an account. See Section 7 for how we handle this.
  • Availability and lineup data. Your responses to availability requests (for example, available, unavailable, maybe, or not set), lineup positions a captain assigns, and related scheduling notes.
  • Match and makeup data. Match dates, scores you enter, rescheduling proposals, responses, and confirmations.
  • Imported league data. Captains may manually enter, or upload a screenshot of, publicly visible league information (such as schedules and standings) from third-party league sites. See Section 8.
  • Communications. If you email us or send feedback, we keep that correspondence.

2.2 Information from opposing captains (guest submissions)

A captain can send an opposing captain a one-time guest link to propose or confirm a makeup match without creating an account. If you use a guest link, we collect only the response you submit (such as a proposed date, an acceptance, or a decline) and a timestamp. We do not require a guest to create an account or provide a password.

2.3 Payment information

Paid plans are purchased on our website through our payment processor, Stripe. Stripe collects and processes your card details directly; Match Loop never receives or stores your full card number. We receive only limited billing confirmation data from Stripe, such as the last four digits of your card, the plan you purchased, and your subscription status. (Our mobile apps do not sell plans or process payments.)

2.4 Information collected automatically

When you use the Service, we and our infrastructure providers automatically collect basic technical data needed to operate and secure it: IP address, device and browser type, and log and diagnostic data (such as error logs and timestamps of requests). We use this for security, troubleshooting, and keeping the Service running. We do not use third-party advertising trackers, and we do not sell this data.

2.5 Sensitive data

We do not intentionally collect sensitive data as defined by state privacy laws — such as racial or ethnic origin, religious beliefs, health information, sexual orientation, citizenship or immigration status, precise geolocation, or genetic or biometric data. Please do not enter this kind of information into the Service.

3. How we use your information

We use the information we collect to:

  • create and manage your account and team memberships;
  • provide the Service's core features — rosters, lineups, availability, and rain-makeup coordination;
  • deliver transactional emails through our email provider, Resend (for example, invitations, availability requests, makeup notifications, and account and billing messages);
  • extract structured information from league-rules text or team screenshots a captain submits, using our AI provider, Anthropic (see Section 4.3);
  • process payments and manage subscriptions through Stripe;
  • secure the Service, prevent fraud and abuse, and debug problems;
  • respond to your questions and support requests; and
  • comply with our legal obligations and enforce our Terms of Service.

We do not use your information for targeted advertising, we do not sell your personal data, and we do not share it for cross-context behavioral advertising or use it for profiling that produces legal or similarly significant effects.

4. How sharing works

Match Loop is a team coordination tool, so some information is visible to others by design. We also rely on a small number of service providers to operate.

4.1 Shared with your team

Other members of a team you belong to — and especially the captain — can see team-relevant information about you, such as your name, your availability responses, and your assigned lineup positions. Captains can see roster and availability data for their own teams. This is how the Service is meant to work.

4.2 Shared with opposing captains

When a makeup match is being coordinated, the opposing captain may see the limited information necessary to schedule it, such as proposed dates, line-level proposals, and confirmation status.

4.3 Service providers (subprocessors)

We share information with vendors that process data on our behalf, under contracts that limit them to providing their service to us:

These providers are not permitted to use your information for their own purposes.

4.4 Legal and safety

We may disclose information if we believe in good faith that it is required by law, legal process, or a valid government request, or where necessary to protect the rights, safety, or property of Match Loop, our users, or the public.

4.5 Business transfers

If Match Loop is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will require the recipient to honor this Policy or provide notice and choice as required by law.

5. How long we keep your information

We keep your information for as long as your account is active and as needed to provide the Service. After you delete your account, we delete or de-identify your personal information within a reasonable period, except where we must retain certain records to comply with legal obligations, resolve disputes, or enforce our agreements — for example, limited billing records and security logs, which we retain only as long as needed for those purposes. Some information you contributed to a team — such as match results or makeup history — may remain visible to that team as part of its records even after you leave, in de-associated or historical form.

6. How we protect your information

We use the security features built into our infrastructure, including encryption of data in transit, hashed passwords, and database-level access controls (row-level security) that restrict each user's access to only the data they are permitted to see. Guest makeup submissions are written through a controlled server-side function rather than direct database access. We maintain administrative and technical safeguards appropriate to the data we handle. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond appropriately if a problem occurs. If a breach affecting your personal information occurs, we will notify affected individuals and the appropriate regulators as required by applicable state and federal law.

7. Players added by a captain; information about others

Because Match Loop is built around team rosters, a captain may add you to a team — including your name and email — before you have created an account. When a captain enters information about another person, the captain represents that they have the authority or consent to do so. We use that information only to invite you, to let you join your team, and to deliver the Service. If you receive an invitation and do not want to participate, you can decline it or ask us to remove your information at privacy@matchloop.app. If you create an account, the roster information becomes part of your account and is covered by the rest of this Policy.

8. Third-party league data and disclaimers

Captains may manually enter or upload screenshots of publicly visible league information (such as schedules and standings) from third-party platforms to set up their teams. Match Loop extracts factual scheduling information from what a captain provides; we do not copy third-party logos or branding into the Service for distribution.

Match Loop is an independent product. It is not affiliated with, endorsed by, or sponsored by the United States Tennis Association (USTA), TennisLink, Tenniscores, Tennis Competitors of Dallas (TCD), the Metroplex Tennis League, or any other league or governing body. All trademarks, league names, and league data belong to their respective owners. Captains are responsible for ensuring they have the right to enter information they upload.

9. Children's privacy

The Service is intended for adults. You must be at least 18 years old to create a Match Loop account. We do not knowingly create accounts for, or knowingly collect personal information directly from, anyone under 18.

Junior players who participate in a league may appear on a team roster only as limited information a captain enters (such as a name). Captains are instructed not to enter information about a child under 13. We do not create accounts for minors, and minors should not register. We do not knowingly collect personal information from children under 13 in violation of the Children's Online Privacy Protection Act (COPPA). If you believe a child under 13 has provided us personal information, or that such information was entered about a child, contact us at privacy@matchloop.app and we will delete it.

10. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding your personal information. We extend these core rights to all users in the United States, regardless of your state:

  • Access / know — confirm whether we process your personal information and obtain a copy of it.
  • Correct — ask us to correct inaccurate personal information.
  • Delete — ask us to delete personal information we collected from you.
  • Portability — obtain a copy of certain information in a portable format.
  • Opt out — opt out of the sale of personal data, targeted advertising, or profiling that produces legal or similarly significant effects. Match Loop does not sell personal data, share it for cross-context behavioral advertising, use it for targeted advertising, or engage in such profiling — so there is nothing to opt out of.
  • Non-discrimination — we will not discriminate against you for exercising any of these rights.

How to exercise your rights. Email privacy@matchloop.app, or delete your account directly within the Service. We will verify your request using the email address associated with your account and respond within the time required by law (generally 45 days, with one permitted extension). You may designate an authorized agent to make a request on your behalf where the law allows.

Appeals. If we decline your request, we will explain why. You may appeal by replying to our decision or emailing privacy@matchloop.app with the word "Appeal." If we deny your appeal, you may contact your state attorney general. Texas residents may contact the Texas Attorney General at texasattorneygeneral.gov.

California residents. Match Loop does not sell or share personal information as those terms are defined under California law, and does not use or disclose sensitive personal information for purposes that would require a "Limit the Use of My Sensitive Personal Information" link. Because we do not sell or share personal information, there is nothing for an opt-out preference signal to act on.

11. Your communication choices

Most emails we send are transactional — invitations, availability requests, makeup notifications, and account or billing messages — and are necessary to provide the Service. We do not send marketing email as part of the core Service. If we ever introduce optional promotional email, it will include an unsubscribe link, and we will honor opt-out requests as required by law.

12. How to delete your account

You can delete your account and associated personal information at any time:

  • In the app or on the website: open your account settings and choose to delete your account.
  • On the web, without signing in: visit matchloop.app/delete-account and follow the instructions.
  • By email: write to privacy@matchloop.app from your account email address.

When you delete your account, we remove or de-identify your personal information as described in Section 5, subject to limited records we must retain by law. Some historical team records may remain in de-associated form as described in Section 5.

13. Data location

The Service is operated in the United States, and your information is processed and stored in the United States. The Service is intended for users in the United States. If you access the Service from outside the United States, you understand and agree that your information will be transferred to and processed in the United States.

14. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice (such as an in-app notice or email). Your continued use of the Service after an update means you accept the revised Policy.
